Job Summary

The Department of Pediatrics Research Enterprise has an immediate need for a full-time Administrative Program Coordinator. This position provides complex program support and resources to clinician-scientists, faculty, staff, students, and/or program participants in the Department of Pediatrics Research Education Office and the Genomics Summer Research for Minorities ( GSRM) Internship. This position will also directly provide program coordination for the NIH-funded GSRM Program. This includes working with the Research Education Office's Research Manager to plan program curriculum and activities, ensuring GSRM program goals and objectives are in accordance with established criteria, interpreting program policies and advising program participants on the application of regulations, and assisting in grant reports and renewals.

Responsibilities

This position reports to the Research Manager for the Research Education Office to provide collaborative support for the Genomics Summer Research for Minorities ( GSRM) program.
  1. Coordinates daily program operations and coordinates program activities of the Genomics Summer Research for Minorities (GSRM) program.
  2. Develop and implement program goals and objectives.
  3. Conducts nationwide recruitment of Underrepresented Minority (URM as defined by the National Institutes of Health) undergraduate students interested in genomics/genetics research to apply and engage in the GSRM summer program.
  4. Works to create national networks for recruitment though communication with various university academic advisors, faculty members, SACNAS meetings, ABRCMS meetings and community advocates.
  5. Creates and updates outreach materials such as flyers, presentations and social network sites/pages for recruitment. Develops culturally appropriate student contact forms, application materials, program evaluation forms, curriculum and all supporting documents for GSRM. Writes and edits program related publications and promotional or educational materials.
  6. Respond promptly to student inquiries regarding GSRM eligibility, design and focus, and other general questions about the GSRM program.
  7. Collaborates with University of Utah faculty to arrange culturally sensitive research mentorship arrangements for GSRM Interns. Recruit a diverse group of University of Utah faculty, staff, graduate students, and community members to serve as Cultural Mentors for GSRM Interns.
  8. Provides direct communication, contact and mentorship to GSRM Interns. Advises staff, students and others regarding program policies, goals and related technical issues.
  9. Communicates continuously with GSRM alumni by collecting demographic information, tracking alumni academic/professional progression and relaying information to promote continual research engagement.
  10. Supports current GSRM students and GSRM alumni with their next academic steps including writing letters of recommendation and facilitating key professional connections.
  11. Monitors program quality and effectiveness and researches improvement methods.
  12. Assists with grant writing and other fundraising activities.
  13. Assists with the preparation of reports, financial statements, and records on program status and progress for management and outside agencies.
Problem Solving

This position provides independent coordination and decision making for all activities of a specified program. The program outcome often impacts the University as a whole. Acts as a liaison between internal and external constituencies involved in program activities. Problems arising from these coordination efforts will be addressed by the incumbent who will refer to the manager for issues outside of program policy and procedure guidelines.

Minimum Qualifications

Bachelor's degree in a related field plus one year directly related experience or equivalency (one year of education can be substituted for two years of related work experience). Demonstrated ability to work independently, analyze and make decisions related to program content. Strong coordination and organizational skills required to prioritize conflicting deadlines. Demonstrated human relations and effective communication skills are also required.

  2. Experience with teaching and curriculum development;
  3. Experience working with underrepresented minorities (URM) student organizations and populations (as defined by the National Institute of Health);

  5. Experience with grant writing;
  6. Experience with CANVAS and/or learning management system;
  7. Personal computer proficiency in Excel, Word and PowerPoint and willingness to learn new programs;
  8. Excellent organizational and time management skills, with outstanding attention to details; and,
  9. Ability to work with student populations.
