What is the Protoplex?

The Missouri Protoplex is a reflection of the statewide ecosystem of manufacturing and technology it serves. The Missouri Protoplex was conceived as a place where industry and academia come together to research new materials and methods, prototype and test new manufacturing processes, develop workforce competencies, and solve multi-discipline problems required to bring integrated cyber-physical manufacturing systems into practical use.

Job Description
The Protoplex executive assistant provides high-level support to the Protoplex. Reporting to the Director of Protoplex, they work closely with the Research Centers, Workforce Development, Research Administration and Facility Operations Teams, Faculty, as well the Protoplex's senior staff and other administrative personnel across campus. The executive assistant builds strong relationships across the University and maintains Protoplex's excellent reputation. This is a unique opportunity to contribute to the University's growing research enterprise and Manufacture Missouri Ecosystem by supporting the work of the Protoplex.

RESPONSIBILITIES
  • Perform general reception and administrative support for the Protoplex facility including answering the main phone line in a professional and effective manner and
  • Plan, coordinate, and staff events for Protoplex.
  • Place orders and maintain inventories for the following: general office supplies, computers, staff business cards, signs, refreshments, kitchen cleanliness and inventory, maintenance requests, and coordinating copier repair and maintenance.
  • Use S&T cards for purchasing; maintain purchasing records/receipts/reimbursements and submit statement reports in accordance with university policy for self and Director of Protoplex, office personnel, visitors, and others as directed.
  • Work with and assist the Project Manager to gather and organize information for Protoplex performance reports and key performance indicators.
  • Prepare monthly time recording, and billing documentation for presentation and approval by direct supervisor.
  • Gather, organize, and summarize information requested by the supervisor; ensure accuracy of data/information requested.
  • Perform other duties as assigned.
Minimum Qualifications

Bachelor's degree or an equivalent combination of education and experience and at least 3 years of experience from which comparable knowledge and skills can be acquired is necessary.

Preferred Qualifications
  • Strong analytic and time management skills, excellent organizational and interpersonal skills and the ability to manage multiple projects simultaneously while exhibiting attention to detail.
  • Demonstrate experience in managing events, travel arrangements, managing multiple calendars, preparing meeting agendas and synthesizing data/information.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook Calendar, merge capabilities) and PeopleSoft.
  • Ability to quickly learn new computer programs specific to Protoplex needs.
  • Excellent communication skills.
  • Proven record of taking initiative.
  • Ability to organize and prioritize a diverse workload in a busy, ever-changing environment.
  • Ability to think creatively and implement best practices.
  • Four years of related office experience.
