Reporting directly to the Director of Campus Safety, the Office Manager manages the day-to-day functions of the Campus Safety Department. The Office Manager is a key stakeholder on campus who collaborates and interacts with various members of the Union College community.
Qualifications:
- Associates Degree preferred. Relevant experience will also be considered.
- Bookkeeping and account experience and knowledge are preferred.
- A minimum of two years of administrative experience is required.
- Demonstrated experience to maintain high levels of confidentiality and ability to treat confidential matters/information with discretion.
- Flexibility to work evenings and weekends during large campus events. This is anticipated to be 3-4 times per year.
- Proficiency in Microsoft Office Suite, and the ability to learn and adapt to new software systems quickly.
- Strong interpersonal and communication skills.
- Customer service oriented attitude, with the desire to help others.
- Ability to manage multiple tasks and prioritize what needs to be completed first.
- Must be a detail-oriented person.
Responsibilities:
- Serve as the primary point of contact for campus safety billing such as processing invoices, communicating with vendors when there are questions about the bills, and sending invoices to the finance department.
- Greet visitors entering and exiting the building.
- Complete administrative tasks such as scheduling meetings, answering the department business phone, taking meeting minutes, and updating department members on daily briefing information.
- Order and maintain supply inventory of office supplies.
- Work closely with the department supervisors to ensure accurate payroll.
- Work closely with the department supervisors to manage the needs of the department.
- Other duties and projects as assigned.
